Billing & Invoicing Terms
Transparent fee structures, payment release requirements, and custody policies for hardware bench repairs and managed IT infrastructure.
🔬 Diagnostic Bench Fees & Estimates
We believe in upfront pricing before tools touch hardware. All diagnostics are governed by clear approval milestones:
- Full Credit Toward Repair: When an estimate is approved, initial diagnostic bench charges are 100% credited toward total labor and parts.
- Declined / No-Fix Fee: If a device is deemed beyond economical repair (unrecoverable PCB layer fractures, silicon failure) or the client declines a formal estimate, a standard $45 bench triage fee applies to cover teardown and safe reassembly.
- Written Authorization: No billable work exceeding the initial pre-approved estimate will proceed without explicit confirmation via CompDesk ticket or invoice approval.
📦 Payment Release & Payment Methods
Strict settlement procedures ensure immediate return carrier dispatch upon repair verification:
- Pre-Shipment Release Policy: All mail-in bench repairs require 100% invoice settlement (parts, labor, return freight, and applicable rush fees) before hardware is cleared from the bench and handed to the shipping carrier.
- Accepted Payment Methods: Major Credit/Debit cards (Visa, MasterCard, American Express, Discover), Apple Pay, Google Pay, and bank ACH transfer. Cash and check accepted for local drop-offs.
- Commercial Net Terms: Net-15 and Net-30 invoicing is strictly reserved for small business network engineering and TrueNAS infrastructure clients with an executed Master Services Agreement.
- Security Notice: Payment details are tokenized via PCI-DSS Level 1 certified processors; card credentials are never stored on self-hosted local drives.
⚡ Non-Refundable Fees & Return Freight
Understanding fees for prioritized scheduling, specialized component procurement, and freight transit:
- $100 Expedited Bench Fee: Covers immediate front-of-queue priority triage, same-day bench scheduling, and air-freight parts prioritization. This fee is non-refundable once hardware triage has begun, regardless of the ultimate repair outcome.
- Special-Order Parts Deposit: Rare, custom-loop, or vintage hardware components not stocked in standard inventory may require an advance non-refundable deposit before procurement.
- Return Shipping & Insurance: Return shipping is billed at actual carrier rates (UPS/USPS) based on carton dimensions, weight, adult signature confirmation, and declared full replacement insurance value.
⏳ 60-Day Unclaimed Property & Storage
To keep the bench operational and prevent long-term parts depreciation, completed repairs are subject to a strict 60-day property timeline:
- Days 1 – 30 (Grace Period): Complimentary secure bench storage while final payment and return shipping arrangements are finalized. Automated status reminders are sent weekly.
- Days 31 – 59 (Storage Fee Accrual): A storage fee of $5.00 / calendar day begins accruing to offset shelf footprint and liability. Formal final notice is issued on Day 45.
- Day 60+ (Deemed Abandoned): Hardware remaining unpaid or uncollected past 60 calendar days from the initial completion notice is deemed legally abandoned under West Virginia bailment laws. Paradigm Reboot LLC reserves the right to wipe all storage media, dismantle, recycle, or liquidate abandoned units to recoup outstanding bench expenses.
💾 Client Data Responsibility & Limited Liability
While Paradigm Reboot takes every precaution to safeguard system storage media during bench service, hardware failure during micro-soldering, board rework, thermal cycling, or operating system optimization carries inherent risks. Clients are solely responsible for creating independent backups of all critical personal data prior to dispatch. Paradigm Reboot LLC assumes no liability for corrupted, encrypted, or unrecoverable customer data.
